Information for workshop leaders

So you know what you're getting into, we've summarized the most important information here.

The entire organizing team works on a voluntary basis, which means we don't receive any payment for our work.

We do this with passion and great pleasure, but it's in addition to our work, family, etc.

Therefore, we are not available around the clock.

We are a very small team, but we organize over 30 workshops.

We are sometimes on vacation or otherwise very busy, so we ask for your patience. Hopefully, many questions will be answered in this information sheet.

No transportation, food, or accommodation

We, as the workshop team, are primarily responsible for the running of the workshops, which means:

  • We will not transport any materials for you, neither for setup nor for dismantling, nor at any other time (except: tables, chairs, and equipment will be on site and prepared by us if you need them for your workshop). We also generally do not have the capacity to temporarily store materials and are not responsible or liable for this.
  • Each workshop leader is responsible for their own travel to and from the workshop, meals, and accommodation.
    Further important information such as the exact location of the workshops, the workshop booth, times, etc., will be sent to the leaders via email later in the year.

Tickets

  • Each workshop leader receives a day ticket for the day their workshop takes place. This ticket will be sent to you by email a few weeks before the festival if your workshop has been accepted by us and confirmed by you.
  • Workshops are taught by individual participants.
    In very rare cases, we may approve one or more workshop assistants.
  • A Workshop Assistant supports the workshop leader in running the workshop. The assistant will also receive a day ticket for the day of the workshop. If you, as the WSL (workshop leader), do not know who will be supporting you on the day of registration, or if you have not entered the full name and address of this person, the day ticket for the workshop assistant will be sent to the WSL. The WSL is responsible for sending the ticket to their assistant.

Consider carefully whether you really need an assistant!

We understand that for certain workshops, a second person is absolutely essential. It's possible that a workshop registration might not be accepted because an additional assistant was specified, which we do not consider necessary.

  • The ticket will be exchanged for a festival wristband for the day at the festival entrance. There is no separate workshop leader check-in.

Payment Terms

We keep 30% of your workshop's net proceeds to cover our organizational costs, while the lion's share of 70% of the net proceeds goes to you.

On the form, you specify the price that each participant should pay for your respective workshop. 19% VAT will be deducted from the total proceeds for tax purposes. The remaining net proceeds will be divided into 30 and 70 percent.

  • We will calculate the amount for you and transfer it to your specified account according to the details provided in the contract.
  • For donation-based workshops, 30% of the net proceeds go to us; here, too, the credit of 70% of the net proceeds will be made via bank transfer.
  • We aim to complete the accounting within 3-6 weeks after the festival.

Please include the 19% sales tax we charge in your calculations for the price each participant is expected to pay. You can use our calculator to calculate this.

No Guarantee

  • We are a music festival and therefore can never guarantee completely quiet rooms and atmosphere during the workshops!
  • There is no guarantee that we will be able to hold one or more workshops, even if you have already held one or more workshops with us in previous years.
  • If you register for multiple workshops, there is no guarantee that you will be able to hold all of them. Only one workshop may be approved.
  • In the event of heavy rain or thunderstorms, we cannot guarantee that outdoor workshops will be possible. However, we will do our best to make it possible.
